Microsoft Outlook from ITS administered Windows computers
Microsoft Entourage with Exchange account
Use the online View Mailbox Size tool. (Usage demand can affect functionality.)
Using Microsoft Outlook
1. Log on to your mailbox using Microsoft Outlook (not OWA- Web Mail).
NOTE: Microsoft Outlook on personal machines may not be set up correctly to view your entire mailbox. Use a campus Windows machine for best results. The Lane and Kendall Computer Kiosks, Lane Computer Lab, and Wiegand Computer Lab have Microsoft Outlook.
2. Enable the Folder List by selecting Navigation Pane from the View menu.
3. Right-click your mailbox (should be at the top of the folder list) and select Properties.
4. Click the Folder Size button. Total Folder size equals your mailbox size in kilobytes (KB).
Full mailbox functionality is restored within an hour of reducing your mailbox size below the above levels.
Common steps to decrease mailbox size:
Delete emails contained in the Sent Items folder. Every email you send is automatically saved to this folder, including those funny movies you forwarded to friends.
Empty the Deleted Items folder. Each item that you delete is first moved to the Deleted Items folder. An item is not removed from your mailbox until you've deleted it out of the Deleted Items folder.
In Microsoft Outlook, select Empty Deleted Items Folder from the Tools menu.
From Outlook Web Access, click the icon that looks like a recycling bin. The contents of the Deleted Items folder will then be removed from your mailbox.
Delete messages with large attachments. Audio and video files can be quite large.
To find the size of individual messages, expand the Search Folders option in the Folder List area, then click on "Large Mail."
If you have any questions, please ask the lab assistant on duty in one of the college's computer labs. You can also stop in the ITS office (lower level Knorr Center) or call 607-2566 during regular business hours. If your mailbox is below 110 MB (112,640 KB), you can send an email to helpdesk@hillsdale.edu or visit http://helpdesk.hillsdale.edu.
